Settings & Configuration

The Settings page should be your very first stop when setting up Imprint Core. This is where you brand your PDFs, secure your data, and wire up the automated email engine.

1. Publisher Details & Branding

The Goal: Ensure your royalty statements look professional and carry your company’s branding.

  1. Enter your publishing company's Name, Address, Email, and Phone Number in the Publisher Details box. These will print at the top of your generated statements.

  2. Click Upload Logo to select your company logo.

  3. Note: Your system's Base Currency is also displayed at the bottom of this section.


2. Royalty Statement Preferences

The Goal: Control the layout and granularity of the PDFs sent to your authors.

In the top right panel, you can customize the output of the Statement Engine:

  • Statement Format: Choose between a Summary format (Recommended for easy reading) or a highly detailed format.

  • Header Alignment & Logo Position: Adjust how your company details and logo are justified on the page.

  • Include Publisher Logo in Header: Check this box to ensure the logo you uploaded actually prints on the PDFs.


3. Email & SMTP Configuration


The Goal: Connect your email provider so Imprint Core can automatically distribute statements to your authors.

Click the Configure Email Settings button to open the email configuration window.


SMTP Server Configuration: Enter the details provided by your email host (e.g., Gmail, Outlook, or your private web host).

  • Server, Port, & Encryption: Fill these in based on your provider (e.g., smtp.gmail.com, Port 587, Encryption tls).

  • Username & Password: Enter your email login credentials.

  • Security Note: Your password is not stored in plain text. Imprint Core securely stores it in your operating system's encrypted keyring.

  • Click Test Connection to verify Imprint can talk to your email server.

Sender Information & Templates:

  • Sender Details: Set the "From" name and email address your authors will see. You can also check the box to BCC yourself on all outgoing emails for your own records.

  • Default Email Template: Customize the subject line and body text of the email that accompanies the PDF.

  • Dynamic Placeholders: You can use placeholders to make each email personalized. Available tags include: {author_name}, {period_start}, {period_end}, {total_amount}, {currency}, {statement_count}, and {publisher_name}.

Click Save Settings when finished.


4. Backups and FX Rates

The Goal: Keep your data secure and monitor your currency conversions.

  • Encrypted Backups: In the top right corner of the main Settings screen, click Create Encrypted Backup. Because Imprint Core is an offline, local application, we highly recommend doing this regularly to protect your financial data in case of a hard drive failure.

  • FX Rates Table: At the bottom of the screen, you can view the current Foreign Exchange rates Imprint Core is using to convert international sales into your base currency, along with the date they were last updated.

Don't Forget! Whenever you make changes to your Publisher Details or Statement Preferences on the main screen, always click the large cyan Save All Settings button in the middle of the screen to lock them in.
