Direct Sales POS: Managing Events & Website Purchases

The Direct Sales POS (Point of Sale) screen allows you to manually log sales that happen outside of the major retailers. Whether you are selling paperbacks at a convention or ebooks directly through your own website, this tool ensures your authors still get their correct royalty splits based on your actual net income.


1. Adding Items to the Cart

The Goal: Select the books the customer is purchasing and define their manufacturing costs.

To build an order, fill out the Add Item to Cart section on the left:

  • Sale Date: Defaults to today, but can be backdated for past website sales.

  • Event / Source: Select or type where this sale originated (e.g., "Bristol Comic Con", "Shopify", "Direct Website"). This is incredibly useful for tracking which events are actually profitable.

  • Edition: Select the specific book and format being sold from the dropdown.

  • Quantity: Enter how many copies of this specific edition were sold.

  • Unit Cost: This is the base manufacturing cost (Cost of Goods Sold or COGS) of the item.

⚡ Pro-Tip: Automating Unit Costs Imprint Core will automatically pull the Unit Cost you set up in the Editions Tab of the Title Manager. However, you can always manually override it right here. This is perfect for situations where a specific batch of books cost slightly more or less to print than usual.

Click Add to Cart >> to move the item into the Current Cart table. Repeat this for as many different books as the customer is buying.

2. Managing the Current Cart

The Goal: Review the order and confirm the total base costs.

The Current Cart table displays all the items in the current transaction. It automatically multiplies the Quantity by the Unit Cost to show you the Total COGS for each line item.

  • If you made a mistake, simply highlight the item and click the red Remove Selected Item button.

3. Checkout and Apportionment (The Magic Math)

The Goal: Log the final sale price and automatically calculate the net profit for royalty distribution.

This is where Imprint Core handles the hardest part of direct sales: Bundles and Discounts.

  1. In the Checkout section, enter the Total Paid by Customer (Gross). This is the final amount of money the customer actually handed you or paid online.

  2. Imprint automatically calculates the total Cart COGS and displays your Net Publisher Income in green text.

  3. Click LOG SALE / CHECKOUT.

How Imprint Handles Discounts & Bundles: Let's say a customer buys three different books that usually cost £15 each, but you gave them a "3 for £40" convention deal. If you enter £40 as the Gross Paid, Imprint Core automatically apportions that discounted gross proportionally across the three books, subtracts their individual Unit Costs, and logs the accurate Net Income for each specific title. This guarantees every author gets paid exactly their fair share of the discounted bundle!

4. Recent Direct Sales Log

The Goal: Verify your recently logged transactions.

Once you click Checkout, the cart clears and the transactions appear in the Recent Direct Sales Log at the bottom of the screen. Here you can see the exact breakdown of the Gross Apportioned amount and the final Net Income that will be fed into the Statement Engine when you run your monthly royalties.
